Vetrukis Terms and Conditions

Last updated: 16 September 2026

These Terms and Conditions govern your use of the Vetrukis website (vetrukis.com) and your participation in our board game tournaments and club activities. Please read them carefully. By registering for a tournament or using this website, you agree to these terms.

Scope

These terms apply to all participants, visitors and users of the Vetrukis website and services. They should be read alongside our Privacy Policy.

Our Club Services

Vetrukis is a physical board game tournament club based in Melbourne, Victoria. We organise and run tabletop game tournaments for individual players and teams at our venue at 120 Collins Street, Melbourne VIC 3000. We offer both free-entry and paid-entry events.

Tournament Participation

Participation in our tournaments is subject to registration, available places and confirmation from Vetrukis. Submitting a registration form is a request to take part; it is not an automatically confirmed booking.

Individual Registration

You may register as an individual participant for events that allow individual entry. You are responsible for providing accurate information when you register.

Team Registration

For team events, you may register as a team by providing your team name and number of members. The person registering a team is responsible for ensuring their team members are aware of and agree to these terms.

Eligibility

Some events may have eligibility requirements, such as skill level or minimum age. Where a participant is under 18, a parent or guardian may need to provide consent. We’ll make any relevant requirements clear.

Participant Responsibilities

Participants are expected to arrive on time, follow event instructions, play fairly and treat other participants, staff and property with respect.

Tournament Rules

Each tournament runs to a format and set of rules that we’ll explain during the event briefing. By taking part, you agree to follow these rules and any reasonable directions from Vetrukis staff.

Capacity Limits

Our events have limited places. Registration requests are subject to availability, and places may fill before a registration deadline. We’ll confirm your place once availability is checked.

Free Tournaments

Some tournaments are free to enter. Registration and availability requirements still apply.

Paid Tournaments and Entry Fees

Some tournaments carry an entry fee, payable in Australian dollars (AUD). Entry fees are participation fees that help cover the venue, materials and running costs of the event. They are not bets, stakes or wagers. The applicable fee and what it includes are stated on the Tournaments & Schedule page.

Payments

Where an entry fee applies, payment may be required to confirm your place. Payments are processed by third-party payment providers, and by paying you agree to their handling of the transaction.

Registration Confirmation

Your place at a tournament is only confirmed once we’ve reviewed availability and notified you. Until then, your registration remains a request.

Cancellation by Participants

If you can no longer attend an event you’ve registered for, please let us know as early as possible by phone or email so we can offer your place to another participant.

Cancellation or Rescheduling by Vetrukis

Occasionally we may need to cancel, reschedule or change the format of an event — for example, due to low numbers or circumstances beyond our control. If this happens, we’ll notify registered participants as soon as we can.

Refund Conditions

Where a paid event is cancelled by Vetrukis, we’ll offer registered participants a refund of the entry fee or the option to transfer to another event.
For paid events, participant cancellations made at least 7 days before the event receive a full refund of the entry fee. Cancellations made within 7 days of the event may be offered a transfer to another event where possible.
Nothing in these terms limits any refund rights you have under the Australian Consumer Law.

Behaviour at the Venue

We want every event to be welcoming and enjoyable. Disruptive, aggressive or disrespectful behaviour won’t be tolerated, and we may ask anyone behaving inappropriately to leave.

Fair Play

We expect all participants to play honestly and in the spirit of friendly competition. Cheating or unsporting conduct may result in disqualification from an event.

Respect for Other Participants

Please treat fellow players, staff and guests with courtesy and respect at all times.

Use of Board Games and Equipment

We provide the games and equipment needed for our tournaments. Please handle all club property with care so everyone can continue to enjoy it.

Damage to Club Property

Participants are responsible for any deliberate or negligent damage they cause to club games, equipment or premises.

Health and Safety

Please follow any health and safety instructions at the venue and let staff know if you have any concerns during an event.

Photography and Event Media

We may occasionally take photographs or video at events for club records or promotion. If you’d prefer not to appear in event media, please let a staff member know and we’ll do our best to accommodate you.

Consumer Rights Under Australian Law

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these terms is intended to exclude, restrict or modify any right or remedy you have under that law or other applicable legislation.

We handle your personal information in accordance with our Privacy Policy, which forms part of these terms.
